The Act allows personal information to be collected, used and disclosed for the purposes for which it was collected in accordance with the Act.
This Privacy Policy only applies to the extent we collect, use and disclose personal information in connection with this website.
We also have a privacy policy which details our policy in connection with our real estate agency business.

This Privacy Policy may be revised, updated or replaced from time to time and we may subsequently notify users of any changes to it by posting the revised, updated or replaced Privacy Policy on this website. Any changes to it take effect on the date on which the revised, updated or replaced Privacy Policy is posted to this website.

What information do we view/collect?
o Depending on the service(s) we provide to you, it may include:
• collecting of name details, residential/business mailing or street address, contact phone/email details, age or birth date, occupation or job title, complaint details;
• family details;
• employment details;
• copies of photo ID, rates, utility bills (to support identity verification);
• financial information, including assets, liabilities, income, outgoings, credit related information and spending patterns;
• insurance details;
• banking details;
• information in relation to a will or estate;
• references (to support a rental application/arrangements);
• sensitive/personal information relevant to the service we are providing you;
• contact details in order to utilise if an appropriate property comes on the market;

Why do we collect this information?
o To assist in a range of real estate services we offer, including acting as agents for the buying and selling of properties, appraisal of properties, leasing of properties and advertising properties in order to facilitate the sale/purchase or management of a property(s).
• to liaise with the landlord, tenant, vendor, purchaser, agent, contractor, legal, financial and other advisors in relation to or in connection with any tenancy or lease of the property/or sale and purchase of a property;
• to assess, prepare and process any application/agreement/lease of a property;
• to manage any tenancy or lease agreement including the collection of rent and other amounts on behalf of the landlord and to prepare required statements of account;
• to act on behalf of clients in accordance with any agency agreement/managing agency agreement and to comply with our obligations under that agreement;
• to ensure the safety and security of landlords/vendors in relation to their property in connection with the inspection or auction of any property by prospective tenants/purchasers;
• to comply with our legal, governance or insurance obligations in connection with a tenancy agreement or lease/ or sale of a property;
• to confirm whether the Landlord, Tenant, Vendor or Purchaser is registered for GST purposes;
• to negotiate and manage the sale of any property (including to provide non legal assistance with the exchange of the contract for the sale of property and the preparation of any required statements of account);
• to advise an individual about other relevant property(s) for sale/lease or services we provide, unless that individual tells us not to (i.e. opts out of direct marketing).
• to advertise, market and promote property(s);
• to maintain and update our systems to allow us to perform administrative, operational and compliance tasks;
• to comply with any dispute resolution or other legal process;
• if we enter into or propose to enter into any agreement or arrangement with any party for the purpose of or in connection with the acquisition of our business (including any part of our business that includes personal information), then we may provide that party (including its legal, financial and other professional advisers) with personal information in relation to or in connection with those arrangements; and
• any other purpose to which an individual has consented.
o Identity verification is also essential to assist us in protecting you against:
• identity fraud/theft – proof/verification of identity of any prospective or actual landlord in order that we can manage a property; or for any vendor for any property we list or propose to sell. This is not only prudent but imperative to ensure we are only dealing with and taking instruction from the rightful and lawful owner of the property at all times.

How do we collect personal information?
o we aim to collect personal information direct from our client(s)
• we are also sometimes required to collect personal information from your representatives assisting you in a real estate transaction (e.g. solicitor, accountant or financial advisor)
• through our website or social media accounts via online enquiry/questionnaire
• when entering a competition run by us
• when responding to an ‘after service’ follow up or feedback questionnaire

Information disclosed
We will use and disclose personal information only for the purposes for which it is collected in accordance with the Act, including:
• providing services and customer support, including service updates;
• maintaining and updating our records;
• comparing information for accuracy, and verifying it with third parties; and
• providing information as authorised or required by law or a relevant government body or authority.

Overseas disclosure
We do not disclose personal information overseas.
We may use cloud storage and IT servers that may be located overseas to store the personal information we hold. As electronic or networked storage can be accessed from various countries through an internet connection it is not always practical to know in which country information about an individual may be held.
Please note that in some cases countries to which we may store information may not have laws or binding schemes that have the effect of protecting your information in a way that overall is at least substantially similar to the way in which the Australian Privacy Principles protect your information, and there may not be any mechanism or binding scheme that you can access to take action to enforce legal protections.

Anonymity and pseudonyms
General users of the website do not need to disclose their identity to us in order to use/view properties on this website etc. This website does not, therefore, collect personal information about people who generally access it except in the circumstances described above.
Please note that we may not be able to provide you with some or all of our services if you are anonymous or use a pseudonym.

One form this takes is by way of newsletters, another example of this is our database to cross match potential suitable properties with enquires received. We will not use your sensitive information for these purposes without your consent.

Accessing your Personal Information
